Meeting Minutes for the Ninth Annual General Meeting and the scheduled ordinary meeting on 26/3/2023

  1. Present: Sean Whewell(SW), Zena Aris-Sutton, Steve Wilson(SWI), John Reed & Iain Moore
  2. Apologies: David Aris-Sutton
  3. Review of Minutes of AGM 2022 – Zena first and John second, all agreed
  4. Annual reports: See attached reports – read out by Zena, provided to VNM members by email. 
  5. Election of Officers – All happy to remain as officers, 
    • Treasurer – Sean will continue in the role. John will do a quarterly Audit. API set up via Bank and auto adds the Quickfile.
    • Secretary – Zena elected to continue and agreed to become secretary.
    • New Officers – Iain Moore will become a member, JR propdosed, SWI second.
    • Like to thank Jan Wooten and Emily Johnstone for their support over the years.
  6. Date and time of next AGM –March 2024 –  Venue and Date TBC in Jan 2024
  7. Any other business – Thanks to Rock Mill Centre for the use of the Centre.

General Meeting Minutes on 26/3/2023

    • The Minutes of the meeting of 23.1.23 were accepted as a true and correct record.
  4. Matters Arising 
  • New volunteer Edit – Doing quizit donations conversations
  • Quiz prizes – Letter to local and Non Local business update
    • Got a few responses from Local – Get Fungi, Clare Allan Art, Torr vale mill, Torrside brewery, Sett Valley Cycles, Dark peak Photography, Craft Corner New Mills. Apex Travel, Spring Bank Arts
    • Non-Local – Matlock Park Farm, Naze View Farm & Chatsworth House
  • Digital notice board update – DCC £1000 – 3 week response.
    • ZRA to update rock mill and Pantry – try to find 3rd location
  • Review constitution and safeguarding policies
    • Safeguarding – none needed – just review date – amend online
    • Constituition –  Remove cheque to sign part
    • Membership – remove – add 50% quorate
  • Funding – DCC, HPBC, NMTC – 
    • DDC – digital screen £1000 applied
    • HPBC – £1995 for carnival applied
    • NMTC – Flower baskets – applied (on agenda for next meeting – April)
    • Co-op Funding – apply again – IM will apply
  • Banners alternative to A0 posters (NMC, TYF & LSO)
    • Quotes – different sizes Business – (Hyde bank Rd)
    • Designs – Zena to do some drafts Landscape and Portrait
  • Defib where – feedback

    • Road closure – need map send in next couple – Can we move date of renewal to end of January – 
    • Parade – Mostly full struggling with bands –

6. Finance Update: The current bank balance is £9152.14 in credit.

7. Media Update:

  • Website page views 5595 -21%, sessions 3660 -18% versus previous 30 days
  • Facebook membership was 10,947(+4%), Twitter membership  2231(-0.2%) and Instagram 2397(+1%)

8. Any Other Business:

    • LSO – Chloe Bell Illustrator Doing a big picture – Auction picture to raise funds 
    • Carnival – April – set up carnival group with Trevor and jane and agree a date
    • TYF – owner for TYF, Zena away and Sean remote.
