The Minutes of the meeting of 13.9.23 were accepted as a true and correct record.

  1. Matters Arising
  • Digital notice board update
    • one damage still needs replacing –
    • Advertise the notices board businesses -ZA to send out email
    • Whole page/videos – £5 per week or £15 per month.
    • Richard £6 per month for the year SW to send an invoice
  • TYF are we doing this year? – Leave it for this year and reconsider for 2025, it might be suited to go to another organisation more focused on Youth
  • Promoting easyfunding and high peak lottery – Edit will do
  • Flags – White flag red heart & words VNM as long as no increase in cost – go with one-stop promotions – ZA to try and get funding
  • Flower baskets, what are we doing next year? – Funding, testing & organising installation – no one to take on this project – perhaps SW might?
  • Website updates
    • Accommodation into groups and added Dogs welcome, along with Places to eat
    • Cycling website page – Frank did 4 routes, ZA to speak to Alison about Road routes and family Friendly.
    • Walking website page update – Kamoot and GPX files
    • Ann Mummery will look at redesigning HOME and putting “things to do” into categories, as well as supporting with adding articles/content – ZA to connect AM to Craig J our website IT support
  • LSO – Feedback
    • Courtesy to ask Darren to use Power – someone takes ownership in 2024
    • Main tree – a better way to put the lights on have a plan by August 2024
    • 30th Nov bring it forward this one time rather than 1st week of Dec
    • Card option for donations – ZA to send details ready for the next meeting
    • Programme comp – no difference bigger prize £100 – £50 is better.
    • Extend the event, only 3-4 hours – TBC consult with businesses/letter or in person. – ZA to draft letter
    • Form- stall/entertainment Local CS entertainment good – reuse
    • Wonderful to have so many volunteers
    • Arrival times need to be on time for stallholders
  • Carnival – Responsibilities
    • Zena – Parade and booking Entertainment via Google form, schedule and briefing
    • David – email council for permission, permits Street collecting, events permit, booking bins/toilet/first aid/radios – Flags (date/volunteers)
    • Edit – stalls via Google form, schedule and briefing & Social
    • John – road closures, booking and managing volunteers on day via Google form, schedule and briefing
    • Steve – Programme via Google form – Ask Lee the deadline if need distributing by 13th May. – Manage entertainment on the day
    • Jane – support with stalls and permits
    • Funding (no one took ownership – maybe Sean?) & Window Comp/judging (ask at quiz maybe Ann/melody)
  • Storage move – completed – confirm who has keys, need to keep an eye on cost – SW set up standing order to Martin/ZA/DA to send details to SW

  • Website page views 6622, sessions 4629 -27% versus previous 30 days, total users 4070 previous 30 days
  • Facebook was 11,493 (+2.2%), Twitter/X 2231(+0.0%), TikTok 61 and Instagram 2649 (+0.4%)
  1. Any Other Business:
    • Promote more committee members – now Zena and David are giving notice as committee members, but will complete projects committed to and carnival, but take on no further projects.
    • Storage pay from funds has – asking for crowdfunding, e.g. £1 per month, cricket club run a 100 club, monthly raffle – £5 per month with £100 and remaining funds go to VNM. – DA will put something together for the next meeting
  2. Date, time and place of next meeting AGM: ZA to ask Rock Mill Centre – Sat 24 February – 3 pm?
